In supporting guests who travel to Japan to be seen by a medical institution, we are entrusted with personal information, including information about health. This is how we handle it.

| 2. What we collect | Name, date of birth, sex, nationality and contact details; travel plans (dates, accompanying guests); information about health (medical history, medication, examination results); payment details. |
| 3. Special-care information | Information about health and medical history is "special care-required personal information" under Japan's Act on the Protection of Personal Information. We collect it only with the consent of the individual, and use it only as far as the visit requires. |
| 4. Purpose of use | Discussing and designing what the visit will involve; applying to the medical institution and sharing information in advance; arranging interpretation and guiding the day; delivering results; invoicing and settlement; and correspondence about the above. |
| 5. Disclosure to third parties | As far as the visit requires, we share information with the receiving medical institution, our partner medical travel operators and interpreters. We tell you who will receive what, and ask your consent, before doing so. Beyond this we disclose nothing except where required by law. |
| 6. Transfer outside Japan | Where a guest resides outside Japan, or where arrangements pass through an operator outside Japan, personal information may cross borders. On request we will tell you the countries involved and provide information on their data protection regimes. |
| 7. Safeguards | Access is limited to those who need it for the work. Information about health is not retained beyond the period required by law once the purpose of the visit has ended. |
